Seller contacts

How your team records where a notice to a seller is sent: adding, editing, nominating and retiring contacts on the seller’s page, and why MapProtector never guesses an address.

Last revised

A seller id is not an email address. MapProtector never derives a contact from a storefront name, a website or a listing; every address a notice goes to was recorded by a person in your organization, with where it came from. The seller’s page carries those contacts, per brand, under Contacts.

What a contact records

FieldMeaning
TypeEmail — the only type a notice can be sent to — or a marketplace message URL, postal address or telephone number kept for the record.
AddressThe value itself. An email is stored lower-cased; one mailbox is one contact.
Contact name · company or storeThe person and, when it is not the storefront itself, the organization — a distributor’s compliance desk, a parent company’s legal team.
Where it came fromEntered by a user, from the seller’s website, from prior communication, manual research, imported, or other. “Other” needs a note. There is no “inferred”.
StatusUnverified (recorded, never used — the honest default), Verified (mail to it has been delivered), Bounced and Marked as spam (recorded by the mail provider; cannot be changed by hand), Retired (set aside by your team; reversible).
PrimaryThe one address notices from this brand are sent to. At most one per seller and brand, always an email.
Added · last updatedWho recorded it and when; who last changed its details and when.

Managing contacts

  1. Open the seller from Sellers and scroll to Contacts (Compliance Manager and above to change anything; every role can read).
  2. Add a contact with its type, address, where it came from, and optionally the name, company and a note. A new contact is not the primary until you make it so, and nothing is sent by adding one.
  3. Edit details changes the name, company, source and notes. The address itself is not editable: a new address is a new contact, and the old one is retired — so a bounced mailbox can never be renamed into a live one.
  4. Make primary nominates the address notices go to. With no primary, the oldest email that can still be written to is used; a retired, bounced or complained address is never chosen, and MapProtector does not switch to another address on its own — the notice is stopped until you choose.
  5. Retire an address your team should no longer use; Reinstate to bring it back.

What adding a contact does not do

  • It does not send anything. Sending is the enforcement workflow, with its gate, its approval and its release.
  • It does not change what your brand has said about the seller. Recording an address for an Unknown seller does not make them Unauthorized; that is a separate decision on the same page.
  • It is not shared with any other customer. Two brands that have both found an address for the same seller each hold their own.
